Introducing "Global Tasks"

We're excited to introduce Global Tasks, a new way to create and manage reusable tasks across multiple projects from a single centralized location.

Global Tasks help organizations standardize recurring work, reduce repetitive setup, and ensure consistency across projects.

✨ What Are Global Tasks?

A Global Task is created once at the organization level and can be assigned to multiple projects.

Instead of creating the same task repeatedly for different projects, admins can now manage it centrally and reuse it wherever needed.

🚀 How It Works

  • Global Tasks are created from the Settings page.
  • When assigned to a project, Apploye automatically creates a project-level task in the background.
  • All members of the project are automatically assigned to the Global Task.
  • Users continue tracking time exactly as before using the familiar Project + Task workflow.
  • Global Tasks can optionally be configured to be automatically assigned to future projects.

🔄 How Global Tasks Differ from Regular Tasks

📂 Scope

  • Regular Tasks belong to a single project.
  • Global Tasks can be shared across multiple projects.

⚙️ Management

  • Regular Tasks are managed within the project where they were created.
  • Global Tasks are managed centrally from one location, making updates easier and more consistent.

✅ Task Status

  • Regular Tasks can have their status changed (e.g., completed).
  • Global Tasks maintain a consistent status and cannot be completed individually.

👥 Member Assignment

  • Members can be manually assigned or unassigned from Regular Tasks.
  • Global Tasks automatically inherit project members, and assignments cannot be manually modified.

🎨 Better Visibility

To help distinguish them from regular tasks:

  • Global Tasks are displayed with a dedicated icon throughout the web app.
  • They can be managed centrally from the Settings page.
  • Project-specific Global Task settings are available under Project Details → Settings.

From the project settings, admins can control whether Global Tasks are allowed within that project.
